1. Overview

XIVIVIDE Bot is a private Discord bot developed exclusively for the XIVIVIDE Discord server.

The bot is used only within the XIVIVIDE community and is not a public multi-server bot. Its purpose is to provide server-specific features such as economy, profiles, role management, shop systems, community features, moderation tools, and administrative logs.

By using the XIVIVIDE Discord server and interacting with the bot, users understand that the bot may process limited Discord data required for these server features.

2. Data We Collect

XIVIVIDE Bot may collect and store the following data when required for server functionality:

  • Discord user IDs
  • Discord server IDs
  • Discord role IDs
  • Discord channel IDs
  • Discord message IDs, when required for moderation or logging
  • Economy balances and transaction records
  • Shop purchases and role purchase records
  • User profile data related to the XIVIVIDE server
  • Server activity statistics required for bot features, such as message count or voice activity duration
  • Sponsor, privilege, and time-limited benefit records
  • Personal room and community system records
  • Moderation records, including warnings, mutes, bans, reasons, timestamps, moderator IDs, and related action history

The bot does not collect real names, payment card data, passwords, private Discord tokens, or other sensitive personal information.

3. Message Content

XIVIVIDE Bot may process message content only when required for specific server features, such as:

  • Prefix-based command handling
  • Spam detection
  • Link filtering
  • Advertisement filtering
  • Rule enforcement
  • Moderation and safety checks

Message content is processed only inside the XIVIVIDE server and only for server functionality, moderation, and safety purposes.

XIVIVIDE Bot does not use message content for advertising, external profiling, or training artificial intelligence or machine learning models.

Unless specifically required for moderation review, the bot does not store full message content off-platform. Moderation logs may store limited metadata such as user ID, channel ID, message ID, action type, reason, moderator ID, and timestamp.

4. How We Use Data

Collected data is used only to provide and maintain XIVIVIDE server features, including:

  • Economy balances, transfers, rewards, and purchases
  • User profiles and server statistics
  • Role purchases and server shop systems
  • Sponsor privileges and time-limited benefits
  • Personal rooms and community systems
  • Moderation actions and punishment history
  • Server safety, anti-spam, and abuse prevention
  • Administrative logs and audit records

We do not sell, rent, or share user data with advertisers or unrelated third parties.

5. Data Storage

Data is stored securely and only for as long as it is needed to provide server functionality, moderation history, abuse prevention, and administrative records.

Some moderation records may be retained for longer periods when necessary to protect the server, prevent abuse, handle appeals, or maintain accurate administrative history.

6. Data Sharing

XIVIVIDE Bot does not sell or rent user data.

Data may be visible to authorized XIVIVIDE staff members only when required for moderation, server management, support, appeals, or abuse prevention.

Data may also be disclosed if required by law or if necessary to protect the safety and integrity of the XIVIVIDE server.

7. User Requests and Data Deletion

Users may contact the XIVIVIDE server administration team to request information about their stored bot data or to request deletion of eligible data.

Some data may not be deleted immediately if it is required for moderation history, abuse prevention, security, dispute handling, or compliance with server rules.

Where deletion is possible, the administration team will review and process the request within a reasonable time.

8. User Opt-Out

Users may opt out of optional bot features where applicable by not interacting with those features or by contacting the XIVIVIDE server administration team.

Moderation, anti-spam, safety checks, and rule enforcement may still apply to all users in the server to protect the community.

9. Children's Privacy

XIVIVIDE Bot is intended for use within the XIVIVIDE Discord server and follows Discord's platform rules and age requirements.

The bot does not knowingly collect personal information from users outside of what is required for Discord server functionality.

10. Changes to This Policy

This Privacy Policy may be updated from time to time to reflect changes in bot functionality, server systems, legal requirements, or Discord policies.
